This Privacy Policy explains what personal information Smart House LLC (“Smart House,” “we,” “us”) collects, how we use and protect it, and the choices you have. It applies to our website at smarthousetoday.com, the customer portal, and the crew app that makes a clean happen.

01The short version

We collect what we need to clean your space well and bill you fairly, and not much more. Here’s the whole thing in four lines.

  • We collect your contact, address, access, and payment details so the crew can show up and do the job.
  • We use them to run the service, support you, prevent fraud, and meet our legal obligations.
  • We share them only with very few service providers, only those who help us operate. Never with data brokers, and never for sale.
  • You can see, correct, or delete your information any time.

02What we collect

The information we hold falls into a few plain buckets.

You give us
Name, email, phone, service address, entry instructions and access codes, pet notes, and account preferences. For business accounts, the company name and the people you invite.
Google sign-in
If you sign in with Google, Google shares your name, email address, and profile photo with us. We use them only to create your account and sign you in. We don’t get your Google password or access to anything else in your Google account.
Service activity
Bookings, visit history, the ratings you give, and messages you send us.
Payment
A token from Stripe, our payment processor. We don’t store full card numbers ourselves.
Device & usage
IP address and browser details that our hosting provider logs, to keep the site working and secure.

03How we use it

Every use ties back to running the service. Specifically, we use your information to:

  1. Schedule, dispatch, and complete the cleans you book.
  2. Process payments, send receipts and invoices, and manage recurring visits.
  3. Keep you posted with confirmations, reminders, and visit updates.
  4. Provide support and honor our re-clean guarantee.
  5. Protect against fraud, abuse, and security threats.
  6. Meet tax, accounting, and other legal requirements under Colorado and federal law.

Marketing is opt-out, always. We email you about your service. If we ever send tips or promotions, every message has a one-click unsubscribe, and turning it off never affects your cleans.

04Property & crew data

Cleaning means trusting us with your space, so this bucket gets extra care. Access codes, alarm notes, and “leave this room alone” instructions are shared only with the crew assigned to your visit and the Smart House team that schedules it.

Crew members see a property’s details only for the visits they’re assigned to. Photos a crew takes to document a job are tied to that visit and used for quality and the re-clean guarantee, nothing else.

05When we share

We share personal information in a short, specific set of cases, and we never sell it.

  • Service providers who run parts of our operation: Stripe (payments), Vercel (hosting and file storage), Supabase (database), Resend (email delivery), and Google (sign-in, if you use it). They may use your data only to do that work for us.
  • Your own organization, if you’re on a business account. The account owner and the members they invite can see that account’s bookings and invoices.
  • Legal and safety reasons: to comply with the law, enforce our agreements, or protect people and property.
  • A business transfer, such as a merger or acquisition, with notice to you.

What we never do: sell your personal information, share it with data brokers, or hand your contacts to advertisers. That’s not our business model.

06Payment information

Payments are handled by Stripe, a PCI-compliant processor. When you add a card, it goes straight to Stripe and we receive a secure token. We use it to place a hold before your visit and charge for the visit once it’s done. We can see the card type and last four digits, never the full number or security code.

Businesses approved for invoicing pay by invoice instead. You can manage your cards any time from your account.

07Cookies

We use a small number of essential cookies to keep you signed in and protect your account. We don’t use advertising cookies or third-party analytics. If that changes, we’ll update this policy first.

You can control cookies in your browser settings. Blocking essential cookies will break parts of the portal, like staying signed in.

08How long we keep it

We keep personal information only as long as we need it for the purpose we collected it, plus what the law requires us to retain.

Account & profile
For as long as your account is active.
Access codes & notes
Until you change them or remove the location.
Billing & tax records
As long as Colorado and federal law require, typically up to 7 years.
Visit photos
With your visit history, while your account is active.

When you close your account, we delete or de-identify your information except what we’re legally required to keep.

09Your Colorado rights

Under the Colorado Privacy Act, and wherever you live, you can exercise these rights over the information we hold about you:

  • Access: get a copy of the personal data we have on you.
  • Correct: fix anything inaccurate.
  • Delete: ask us to remove your data, subject to legal retention.
  • Portability: receive your data in a portable format.
  • Opt out of targeted advertising and the sale of personal data. We don’t do either, but the right stands.

To make a request, email privacy@smarthousetoday.com. We’ll verify it’s really you, respond within the time the law allows, and never charge you or treat you differently for asking.

10How we protect it

We use encryption in transit, access controls, and the principle of least privilege: staff and crew see only what their role requires. No system is perfectly secure, but if a breach ever affects you, we’ll notify you as the law requires and tell you what to do.

11Children’s privacy

Smart House is a service for adults. We don’t knowingly collect personal information from anyone under 18. If you believe a minor has given us data, contact us and we’ll delete it.

12Changes to this policy

We may update this policy as our service or the law changes. We’ll post the new version here with an updated date, and for material changes we’ll email account holders. Continuing to use Smart House after an update means you accept it.
